Simpro implementation checklist for UK trade businesses

By Charlie Baker, founder of CB Tech Consulting • 3 minute read • Last reviewed October 2026

A successful Simpro implementation starts with mapping how your business actually works, then configures Simpro around it: clean data, cost centres and pricing, quote and job templates, scheduling, the mobile app, accounts integration, team training and written SOPs. Most problems with Simpro come from skipping the process mapping and training, not from the software itself.

Before you configure anything

Simpro is powerful and flexible, which means there are many ways to set it up. Before touching the settings, agree how your business should work:

  • Map your journey from enquiry to quote, job, invoice and payment
  • Decide who does what at each stage, and what needs approval
  • List the reports you need to run the business
  • Identify the systems Simpro must connect to, such as accounts, CRM and your website

The implementation checklist

Use this checklist to make sure nothing important is missed:

  1. Clean your data before migration: customers, sites, contacts, assets and stock.
  2. Set up cost centres, pricing and labour rates so job costing reflects reality.
  3. Build quote and job templates for your most common types of work.
  4. Configure scheduling around your teams, skills and working patterns.
  5. Set up the mobile app and forms so engineers capture photos, notes and sign-off on site.
  6. Connect your accounts software so invoices and payments flow without re-keying.
  7. Configure customer communication such as booking confirmations and job updates.
  8. Build the reports you agreed at the start.
  9. Train each role on the parts of Simpro they use, not everything.
  10. Write SOPs so new starters follow the same process.

Common Simpro mistakes

The most common problems we see in existing Simpro setups are inconsistent job and quote templates, incomplete cost centres that make margins unreliable, engineers working around the mobile app instead of with it, and features the business pays for but has never switched on. A Simpro health check usually finds quick wins in each of these.

Going beyond Simpro with automation

Simpro has an API, which means it can be connected to the rest of your business. Common automations include website enquiries created directly in Simpro, automatic customer updates by email and SMS, dashboards that combine Simpro data with other systems, and AI-assisted admin.
